Secretary

Job Purpose

To provide secretarial assistance to Executive Assistant and generally provide basic clerical and administrative support to the Senior Management Office.

 

Key Responsibilities

  • Provide daily secretarial and administrative support services for the Senior Management Office.
  • Facilitate internal meetings, ensuring effective scheduling and preparation.
  • Ensure smooth and efficient operations of the Management office including courier/mail handling, online subscriptions, office supplies, setting up of conference room, organize business luncheons and dinner
  • Maintain filing and documentation system
  • Manage confidential information with absolute discretion and integrity
  • Coordinate executive transportation logistics, work closely with drivers to arrange daily car schedules and appointments
  • Handle expense claims, ensure travel policies are complied with and to track reimbursements
  • Maintain gift and entertainment report
  • Manage ad hoc assignment as directed by Executive Assistant.

 

Skills, Qualifications and Experience Requirements

  • Diploma holder or above, with formal training in Business / Secretarial or equivalent
  • Minimum of 6-8 years’ relevant working experience in serving Senior Management
  • Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines
  • Strong initiative and problem-solving skills to anticipate needs and resolve issues proactively
  • High level of accuracy in preparing all correspondence
  • Good interpersonal and communication skill
  • Independent, mature and pro-active
  • Flexibility to work under pressure and adapt to changing priorities in a fast-paced environment
  • Excellent command of both written and spoken English and Chinese
  • Proficiency in computer literacy, MS Office applications
